Privacy Policy
Effective date: 9 October 2026
1. About This Policy
Newman & Co. Landscapes ("Newman", "we", "us", "our") is committed to protecting your personal information and complying with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) contained in Schedule 1 of that Act.
This Privacy Policy explains how we collect, use, disclose, and safeguard personal information we receive through our website and in connection with providing landscaping and property maintenance services across Canberra and surrounding regions.
By using our website or engaging our services, you consent to the practices described in this Policy. If you do not agree, please do not use our website or submit personal information to us.
2. What Personal Information We Collect
We may collect the following types of personal information:
- Identity information: Full name.
- Contact information: Phone number, email address, property address.
- Service information: Details about your project, service requirements, and property.
- Usage information: IP address, browser type, pages visited, and website interaction data (collected automatically via standard web server logs).
Garden Club email signup: If you join our Garden Club through the website page or popup, we collect your email address only. You give explicit permission by clicking the signup button, which tells you what you are agreeing to: a welcome offer of 50% off one lawn mow, plus a monthly email of Canberra gardening tips and occasional 10-30% discounts. You can unsubscribe at any time.
We use your email address to send the welcome offer and the monthly newsletter. If you choose to reply to the welcome email with your name, job address and phone number, you provide those details voluntarily, and we use them to follow up with you about the job.
To avoid showing the popup repeatedly, your browser's local storage keeps a preference: 7 days after you dismiss the popup, or 365 days after you sign up. This is a simple preference stored on your device. It is not used for tracking or third-party advertising.
Gift voucher purchases: We collect the purchaser’s name and email address, recipient’s name and optional email address, chosen AUD amount, gift message, delivery choice and acceptance of the voucher terms. We keep payment references, issue and expiry dates, remaining credit, redemption records and email acceptance status to supply and manage the voucher.
Stripe hosts the payment page and processes payment details. We do not receive or store your full card number or security code. Your purchaser email and voucher amount are supplied to Stripe; its services may process data outside Australia. See Stripe’s privacy policy. Our email provider receives the details needed to send the confirmation and gift email.
The recipient is shown the sender’s name and personal message, but not the purchaser’s email address or private purchase recovery link. Buying or receiving a voucher does not enrol anyone in the Garden Club or marketing emails. Please only provide recipient details you have permission to share, and avoid sensitive information in your gift message.
Private voucher and purchase links work without an account; keep them safe. Your browser may keep your private purchase link in session storage to help you return from Stripe, or recover after cancelling checkout. Voucher codes, purchase and download links, names, messages and payment details are excluded from our website analytics and application logs. Gift purchase, return and voucher pages are not measured by our optional website analytics.
We keep transactional records while credit remains valid and for as long as needed to resolve disputes, supply remedies and meet record-keeping obligations. Contact info@newmanco.com.au to request access, corrections or help recovering unspent credit.
We do not knowingly collect sensitive information (as defined in the Privacy Act) such as health, financial, racial or ethnic origin information unless strictly necessary and with your explicit consent.
3. How We Collect Personal Information
We collect personal information when you:
- Submit a quote request through our website contact form;
- Contact us by phone, email or in person;
- Engage us to provide landscaping or property maintenance services;
- Buy a gift voucher, receive one or contact us to redeem or recover it;
- Visit our website (via automatic log data).
You may optionally share your landscaping budget range and property photos with a quote enquiry. Photos are stored privately in our Replit App Storage and are accessible through the secured owner portal, not a public gallery. We remove embedded photo metadata, including GPS location, when processing uploads. Please avoid including people, documents or anything sensitive that is not needed to assess the work. Unsubmitted uploads are removed after their upload session expires and the cleanup process runs.
Where it is reasonable and practicable to do so, we will collect personal information directly from you.
4. Why We Collect Personal Information
We collect and use your personal information to:
- Respond to your enquiries and provide you with a quote;
- Deliver, manage and improve our landscaping and property maintenance services;
- Communicate with you about your project or service booking;
- Issue and email gift vouchers, verify payment, maintain credit balances and handle redemptions, refunds and disputes;
- Comply with legal and regulatory obligations;
- Improve and maintain our website and business operations.
We will not use your personal information for any purpose inconsistent with the purpose for which it was collected without your consent, except where permitted or required by law.
5. Disclosure of Personal Information
We do not sell, rent, or trade your personal information. We may disclose it to:
- Employees or contractors who assist in delivering our services, bound by confidentiality obligations;
- Service providers, including email, website hosting and private messaging providers such as Telegram, used to deliver submitted quote enquiries, customer offer responses, Garden Club signup alerts and gift purchase alerts to our team;
- Stripe, to process gift voucher payments, and our email provider, to deliver purchaser confirmations and gift emails;
- Government or regulatory bodies where required by law, a court order, or where we believe disclosure is necessary to protect our rights or the safety of others.
Where we disclose personal information to overseas recipients, we will take reasonable steps to ensure those recipients comply with the APPs or are bound by a law or binding scheme that provides substantially similar protection, consistent with APP 8.
6. Security of Personal Information
We take reasonable steps to protect personal information we hold from misuse, interference, loss, and from unauthorised access, modification or disclosure. These steps include secure email transmission, limited internal access, and use of reputable hosting infrastructure.
However, no internet transmission is completely secure. You send information to us via our website at your own risk. We will notify you of any eligible data breach in accordance with the Notifiable Data Breaches scheme under Part IIIC of the Privacy Act 1988 (Cth).
7. Cookies and Website Analytics
Anonymous quote-form progress
Separately from optional website analytics, we record non-identifying progress when you actively start our quote form. This does not require accepting optional analytics. We record the current and furthest step reached, start and last-activity times, whether sections are filled in (not their values), a broad entry-page category and a broad source signal such as Facebook, Instagram or Google when available. These signals can be missing or inaccurate. We do not save the full referrer, browsing history or user-agent string. A random token held only in the open form is stored as a hash—not names, contact details, exact addresses, photo contents, typed answers, IP addresses or device identifiers. It is not a cookie, is not saved to your device and is not linked to a customer or submitted enquiry.
If a form remains unsubmitted with no recorded activity for at least 30 minutes, we may send our team a grouped Telegram summary of those progress signals. This helps us spot difficulties with the form; it does not let us identify or contact you. Completed forms are excluded from future alerts. Records are removed after seven days when the service next runs. Browser Do Not Track and Global Privacy Control signals suppress new progress reporting. Reporting and alert delivery are best-effort; they do not affect your ability to request a quote.
Quote follow-up emails
We do not send abandoned-quote reminder emails or save identifying text drafts for email recovery. The former save-for-later feature has been retired and pending reminders are cancelled. Submitted quote requests remain securely stored so we can respond to them. Anonymous progress notices to our team, described above, do not contain your contact details and cannot be used to email you.
For issued fixed-price offers, a private email link allows the recipient to review the quoted scope, amount and terms and deliberately submit an acceptance or a pricing discussion. We store the issued offer and submitted name, response and time with the quote, and may notify our team through Telegram. Opening the email link does not accept an offer. Keep your link private; it grants access to that offer without an account. A recorded response does not by itself verify the sender’s identity, confirm a work date or replace a required statutory contract.
Optional website analytics
On our business-card page, optional analytics also counts page views and taps on review, homepage, quote, contact-card and social links. A QR-tagged link identifies the broad source as a business card; we may retain that source for the browsing session after you allow analytics. Recorded QR-link opens are not a count of verified physical scans or unique people. Contact-card taps do not confirm that you saved a contact.
Website analytics are optional. If you choose “Allow analytics”, we measure page views, visible sections, approximate active reading time, scroll depth, call/quote button clicks and successful quote enquiries. We also show aggregate live visits and their approximate countries and broad regions. Declining does not affect browsing, enquiries or Garden Club membership. We honour browser Do Not Track and Global Privacy Control signals. Use “Privacy choices” to change or withdraw your choice at any time.
Your analytics choice is stored on your device. Historical website events contain no visitor identifier, IP address, names, contact details, form contents or full referral URLs. We do not record screens, replay sessions, build advertising profiles or share these events with advertising networks. A monthly campaign label, shared by all recipients of that campaign, helps us measure enquiries without linking website activity to a subscriber.
For live visit counts, a random, short-lived tab token is held in browser memory, not a cookie or persistent browser identifier. It is renewed on navigation, after the tab becomes hidden, or when consent is withdrawn. The server keeps only that token’s latest public page, approximate country/region and last heartbeat, not a browsing history. Closing or hiding the tab, leaving public pages or withdrawing consent stops reporting and requests removal.
With your analytics consent, our server briefly processes the network IP provided by the connection/proxy to estimate country and region using a local GeoIP database. The raw IP is not saved in analytics records or sent to an external geolocation service. We do not request device location permission, GPS, street addresses or precise coordinates. IP locations can be missing or wrong, especially with VPNs, mobile networks and proxies; unknown locations remain unknown.
Live visits represent recently reporting foreground browser tabs, not unique people. Live records expire after 90 seconds without a heartbeat and are removed when the analytics service next runs. Live data is not attached to subscribers, email recipients or customer records, and is not copied into historical website-event records. Previous analytics consent is requested again when this location feature is introduced.
This product includes GeoLite2 data created by MaxMind, available from maxmind.com and distributed with the local geoip-lite library.
Website event records older than 90 days are routinely removed when the analytics service runs. Time measurements cover foreground activity only and are estimates; reports reflect consenting visitors, not all traffic.
Monthly promotional emails use a small tracking image to estimate opens and fixed link redirects to measure clicks. These measurements relate to the email delivery, not to an individual website browsing profile. Email apps, privacy proxies and security scanners can affect the results. Email engagement records older than 365 days are routinely removed. Unsubscribing stops further engagement measurement for those emails.
8. Accessing and Correcting Your Information
Under the Privacy Act 1988 (Cth), you have the right to request access to the personal information we hold about you and to request corrections if it is inaccurate, incomplete or out of date.
To make a request, contact us at info@newmanco.com.au. We will respond within 30 days. We may need to verify your identity before granting access. There is no charge for making a request, though we may charge a reasonable fee for providing access in some circumstances.
If we refuse access or correction, we will provide you with written reasons and advise you of available complaint mechanisms.
9. Complaints
If you believe we have breached the Australian Privacy Principles or the Privacy Act 1988 (Cth), you may lodge a complaint with us by emailing info@newmanco.com.au. We will acknowledge your complaint within 5 business days and endeavour to resolve it within 30 days.
If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC):
- Website: www.oaic.gov.au
- Phone: 1300 363 992
- Post: GPO Box 5218, Sydney NSW 2001
10. Retention of Personal Information
We retain personal information only for as long as necessary for the purposes for which it was collected, or as required by law. When personal information is no longer required, we will take reasonable steps to destroy or de-identify it securely.
11. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal obligations. The updated Policy will be posted on our website with a revised effective date. We encourage you to review this Policy periodically.

Optional address suggestions
When available, our quote form and service-area checker use Google Maps to suggest local addresses. If you use suggestions, the address text you type and a temporary lookup-session identifier are sent to Google through our server. A selected address is resolved to its location and suburb to check service coverage and the applicable call-out fee. We do not send your name, phone number, email, job details or property photos to Google for address suggestions. We do not store suggestion lists or record typed addresses in our analytics or application logs.
You can choose “Type address manually” to turn suggestions off, or simply enter an address without selecting a suggestion. Google may process lookup data outside Australia. See Google’s Privacy Policy. Your phone’s saved-address autofill, camera and photo-gallery access are controlled by your browser or the app you opened our website in. Photos remain optional.
The map in “Where we work” loads automatically as you approach it. Loading the embedded map connects your browser to Google, which may receive your IP address and browser information under its own privacy policy. You do not need to use the map to request a quote.
Our public business rating and review count are retrieved from Google Maps through our server. This lookup requests our business profile, not your enquiry details. The rating refreshes while the page is open; it is not personal analytics and does not set a tracking cookie. If Google is unavailable, you can view the reviews directly on Google.
